Integrated Management System Template: What to Look for Before You Download

Searching for an integrated management system (IMS) template to download is a smart move — but not all templates are created equal. This guide explains what a quality IMS template should include, and what to avoid when buying or downloading one.

What Is an Integrated Management System Template?

An Integrated Management System (IMS) combines three ISO standards into a single, unified framework:

·       ISO 9001 — Quality Management

·       ISO 14001 — Environmental Management

·       ISO 45001 — Occupational Health & Safety Management

Rather than running three separate management systems, an IMS integrates them using a common structure (the ISO High Level Structure, or HLS), reducing duplication and administrative burden.

An IMS template is a pre-built document set that gives your organisation the policies, procedures, forms and registers needed to implement this system — without starting from scratch.

What Should a Quality IMS Template Include?

Before you download any IMS template, check it covers the following:

1. All Three ISO Standards

A true integrated template should address the requirements of ISO 9001:2015, ISO 14001:2015 and ISO 45001:2018. Be cautious of templates that only partially cover one or two standards.

2. Core Documentation Set

A complete IMS should include:

·       IMS Policy (Quality, Environmental and WHS integrated)

·       Scope of the management system

·       Context of the organisation (clause 4)

·       Risk and opportunity register

·       Objectives and targets register

·       Aspects and impacts register (ISO 14001)

·       Hazard identification and risk assessment (ISO 45001)

·       Competency and training records

·       Internal audit procedure and checklists

·       Corrective action and non-conformance procedure

·       Management review procedure and template

·       Legal and compliance register

·       Emergency response procedure

3. Audit-Ready Structure

The template should be structured to align with how auditors assess compliance. That means each document should reference the relevant ISO clause and be logically connected to other documents in the system. Generic templates that don't reflect actual audit expectations can leave gaps that only become visible during your Stage 2 audit — which is too late.

4. Australian Context

For Australian businesses, your IMS should reference relevant Australian legislation — particularly for WHS (Work Health and Safety) and environmental compliance. A template developed in the UK or US may reference legislation that doesn't apply to your operations.

Common Problems with Free IMS Templates

Free IMS templates downloaded from generic sites often have significant limitations:

·       Missing whole clauses or requirements

·       Generic, non-specific language that doesn't translate to your industry

·       No connection between documents (they don't cross-reference correctly)

·       Not structured for ISO audit expectations

·       No guidance notes to help you customise them

A poorly structured IMS can actually create more work — you may need to significantly rework documents before your certification audit.

What to Expect When You Download a Quality Template

A quality IMS template from an experienced ISO auditor should be immediately usable with minimal customisation. Look for:

·       A document register or index listing all included files

·       Clear placeholder text showing exactly what to customise (company name, scope, etc.)

·       Guidance notes or instructions for completing each document

·       A logical folder structure that mirrors what auditors expect to see

·       Pre-populated examples where helpful

How Long Does It Take to Implement an IMS Template?

With a complete, well-structured IMS template, most small to medium businesses can have a compliant system in place within 4–8 weeks. The key steps are:

·       Customise policies and procedures to your business context

·       Complete the required registers (risk, aspects, hazards, legal)

·       Train relevant staff and record competencies

·       Conduct at least one internal audit cycle

·       Hold a management review

·       Book your Stage 1 and Stage 2 certification audits
